Personal Assistant
The Personal Assistant plays a dual role, ensuring smooth day-to-day office operations while providing high-level administrative support to the CEO and occasional support to the CFO. This role is a Hybrid Role based out of our Charlottesville Office.
Key Responsibilities
Office Management:
- Manage office supplies, vendors, and facility maintenance
- Organize company meetings, events, and internal communications
- Manage budgets, invoices, and expense tracking
Personal Assistant:
- Manage the CEO’s calendar, scheduling, and priorities
- Coordinate meetings, prepare agendas, and take meeting notes
- Handle confidential correspondence and communications on behalf of the CEO
- Arrange travel, accommodations, and itineraries
- Prepare reports, presentations, and briefing documents
- Act as a liaison between the CEO and internal/external stakeholders
- Filing and administration of financial documents, and coordination of necessary materials between offices
- Assist with strategic projects and follow-ups on key initiatives worked on with CFO
Skills & Qualifications
- Strong organizational and multitasking abilities
- Excellent written and verbal communication skills
- High level of discretion and confidentiality
- Proficiency in Microsoft Office, Google Workspace, and scheduling tools
- Ability to prioritize tasks in a fast-paced environment
- Problem-solving mindset and attention to detail
- Experience supporting senior executives or C-level leaders preferred
Preferred Background
- French Speaking
- 3+ years in office management, executive assistance, or finance/admin support roles
